Summary
We are looking for a detail-oriented and customer-focused Customer Order Executive to manage the end-to-end order processing cycle. This role involves handling customer orders, coordinating with internal departments (sales, logistics, finance, and service), ensuring timely deliveries, and maintaining high customer satisfaction levels. The ideal candidate should have strong organisational skills, excellent communication, and experience in order management systems.
Job Responsibilities
- Handle full order process spectrum in generating sales orders, purchase orders, goods receiving, delivery orders and invoices.
- Coordinate with sales, service team, and finance teams to ensure smooth order fulfilment.
- Issue purchase orders timely for both local and oversea , monitor vendor delivery schedules, and implement corrective actions as needed.
- Ensure timely invoicing, dispatch, and advance payment follow-ups in coordination with finance.
- Coordinate shipment arrangement with suppliers, customers, forwarders and courier service. Including prepare import, duties/taxes and shipping documents.
- Perform goods receiving upon shipment arrival into the systems.
- Handle customers’ complaints, enquiries, shipment discrepancies related to orders with factory.
- Assist in processing warranty / RMA claims.
- Oversee inventory management, including tracking stock levels and movement
- Support cross-functional teams with related tasks to facilitate smooth operations
- Assists in documentation filing and handling of incoming calls.
- Ensure all documentation complies with Hexagon’s standards and practices
- Perform ad-hoc duties and responsibilities as assigned
- Manage and update all licensing activities in HCP portal.
- Trouble Shooting for licensing upon request.
- Sending the license file for reseller once received payment
- Update the license expired date according to the contract term
Qualifications
- Minimum Diploma in Business/Sales & marketing or related discipline
- Minimum 2-3 years of proven experience in order management, shipping or related role
- Experience with Salesforce (SFDC)/ Service Max/ HCP/ Navision tools
- Strong communication (oral and written) and inter-personal skills
- Able to interact effectively with all levels of staffs, both locally and overseas
- Ability to work efficiently under pressure while managing multiple tasks
- Positive, can-do attitude and strong team player mindset
- Meticulous with a keen eye for details
