Summary
We are growing business and expanding the team in Brazil, therefore seeking for a Sales Analyst for our AFM Team. This hybrid position is based in our São Paulo office, near the Santo Amaro region.
This person will be responsible for quotations, order entry and handling in ServiceMax/Navision, stock/import coordination, invoicing and collections, as well as reporting and customer service. Requires experience in spare parts order processing, advanced Excel, and familiarity with CRM/ERP systems. Differentials: import/export, NCM/Incoterms, and Spanish/English.

Job Responsibilities
1) Spare Parts Order Processing
- Prepare quotations for parts and initiate first contact with the customer (response SLA).
- Register and manage parts orders in internal systems (ServiceMax and Navision), ensuring complete data (item, NCM, price, taxes, lead times, Incoterm, address, contact, cost center).
- Validate stock vs. import needs (in-stock vs. out-of-stock items) and reserve materials.
- Execute order changes (quantity, date, address) with audit trail and customer communication.
- Monitor internal approvals (special pricing, discounts, tax exceptions) and release orders for invoicing/shipping.
- Keep order status updated for internal teams and customers (order pipeline).
2) Logistics & Importation
- Request importation of out-of-stock items and monitor lead times with the team/forwarder responsible.
- Track arrival of imported parts and SMAs to release pickup/shipping or schedule service.
- Review documents (Invoice, Packing List, DI/DUE when applicable) and ensure compliance requirements.
3) Invoicing & Collections
- Issue service and monthly contract invoices, as well as parts billing according to tax policy.
- Update billing spreadsheets/reports and confirm receipt with customers.
- Follow up on collections (including phone calls when needed) and record evidence.
- Ensure service invoices are not canceled to avoid undue tax charges.
4) Analysis & Reporting
- Collect and analyze sales/order data to identify trends, bottlenecks, and opportunities (fill rate, OTIF, order aging).
- Produce status reports and present insights to Sales, Services, and Marketing.
- Conduct market research and monitor competitor activities (pricing/lead time of key parts).
5) Customer Relationship
- Maintain active communication (email/phone) throughout the order cycle.
- Confirm receipt of proposals and invoices; adjusts when requested.
- Act as an escalation point for critical deadlines and exceptions.
6) Compliance & Continuous Improvement
- Ensure compliance with tax, customs, and billing policies.
- Support process reviews (SOPs), master data cleanup, and automation initiatives (e.g., templates, validations).
Qualifications
- Education: Business Administration, Economics, Finance, Logistics, or related fields.
- Experience: Background in spare parts order processing, inside sales/CS, logistics, or billing.
- Analytical Skills: Ability to interpret data and generate actionable insights.
- Communication: Assertive, clear and objective communication for internal and external audiences.
- Technical Knowledge: CRM (preferably Salesforce), ServiceMax (service orders), Navision (billing/ERP). Microsoft Office Suite (advanced Excel is a plus: XLOOKUP, Pivot Tables, Power Query).
Differentials:
- Experience with import/export processes for parts.
- Knowledge of fiscal classification (NCM/HS Code) and Incoterms.
- Background in industrial/metrology environments.
- Spanish and/or English for supplier and regional customer interactions.
