Overview
The Commercial sales support Specialist plays a critical role in supporting Hexagon Manufacturing Intelligence by ensuring the accurate, timely, and compliant processing of hardware, software, and service orders within a complex manufacturing environment.
This position acts as a central coordination point between Sales, Finance, Planning, Logistics, to enable smooth order execution, ensuring data accuracy, adherence to commercial and operational policies, and high quality customer experience while supporting the delivery of precision measurement technologies, software solutions, and integrated manufacturing systems.
Key Responsibilities
- Enter and validate hardware, software, and service orders in Salesforce and ERP systems, ensuring accuracy and completeness.
- Generate software licenses, entitlements, or activation keys as part of the software order fulfillment process.
- Review customer quotes, contracts, and purchase orders to ensure compliance with pricing, terms, and company policies.
- Generate and reconcile invoices using internal reports, ensuring proper billing and alignment with financial requirements.
- Monitor Salesforce dashboards and operational reports to track order status, backlog, and exceptions, and act promptly on discrepancies.
- Push back incomplete or incorrect requests; communicate required corrections and follow up until resolved.
- Coordinate hardware orders with Planning and Logistics for allocation, manufacturing readiness, packaging, and shipment scheduling.
- Support Sales by providing guidance on order requirements, documentation, approvals, and delivery timelines.
- Manage order-related issues such as pricing mismatches, manufacturing constraints, and documentation gaps; escalate when needed.
- Maintain accurate order files, license records, and approval documentation for audit and compliance readiness.
- Collaborate with Planning, Logistics, Finance, Service, and Operations teams to support continuous process improvement.
- Participate in the development of tools and documentation to increase the efficiency of the sales process.
Qualifications
- Professional Level: Solid experience (3–5+ years) specifically in Order Management, Sales Operations, or Sales Administration.
- Language: Proficient English (written and verbal).
- Systems Skills: Mid-to-advanced Salesforce user; experience with ERP order modules preferred such as Salesforce, SAP, etc.
- Microsoft Office: Strong Excel, Word, and PowerPoint skills.
- Finance/Accounting Knowledge: Preferred for invoicing, billing validation, and reconciliation.
