Summary
Hexagon Manufacturing Intelligence is seeking a detail-oriented Commercial Sales Support Senior Specialist to manage the end-to-end order lifecycle for hardware and software products.
This role serves as a key link between Sales, Finance, Logistics, Warehouse, and Software Provisioning teams to ensure orders are processed accurately, billed correctly, and fulfilled on time.
The ideal candidate has experience managing complex hardware and software orders, understands pricing and contract requirements, and is comfortable working across CRM and ERP systems. This position plays an important role in maintaining order accuracy, resolving discrepancies, and delivering a seamless experience for internal teams and customers.
What You'll Do
- Review customer purchase orders against quotes, contracts, and applicable commercial terms to ensure accuracy before order processing.
- Verify pricing, product availability, hardware configurations, software licensing terms, and maintenance or support agreements.
- Accurately enter, validate, and process a high volume of complex hardware and software orders within CRM and ERP systems.
- Ensure orders meet commercial and operational requirements prior to submission and fulfillment.
- Partner with Sales, Finance, Warehouse, Logistics, and Software Provisioning teams throughout the order lifecycle.
- Coordinate hardware shipments and software license provisioning to support accurate and timely delivery.
- Proactively identify and resolve pricing discrepancies, billing errors, incomplete information, and missing or incorrect order configurations.
- Communicate order status, expected delivery timelines, back-order information, and potential delays to internal stakeholders.
- Investigate order-related issues and work cross-functionally to prevent unnecessary fulfillment or invoicing delays.
- Maintain accurate and complete customer and order information within CRM and ERP systems.
- Review backlog, fulfillment, invoicing, and other order-management reports to identify outstanding actions or discrepancies.
- Support continuous improvement efforts related to order accuracy, processing efficiency, and the overall customer experience.
Qualifications
Required
- 4+ years of experience in order entry, order management, sales operations, customer operations, or a related
- Bachelor’s degree in Business Administration, Operations, Supply Chain, Finance, or a related field preferred, or an equivalent combination of education and relevant professional experience. function, preferably within a hardware and/or software environment.
- Experience processing complex orders involving multiple products, configurations, pricing structures, or licensing terms.
- Experience working with CRM systems such as Salesforce.
- Experience with ERP platforms such as SAP, Oracle, or similar systems.
- Proficiency with Microsoft Office, particularly Excel.
- Ability to review and interpret purchase orders, quotes, contracts, pricing, and commercial terms.
- Ability to understand complex hardware configurations and software licensing models.
- Strong attention to detail and commitment to maintaining accurate order and customer data.
- Strong organizational skills with the ability to manage a high volume of orders and competing priorities.
- Strong verbal and written communication skills with the ability to work effectively across multiple internal teams.
- Demonstrated problem-solving skills and the ability to independently identify and resolve order discrepancies.
Preferred
- Experience supporting both hardware and software product orders.
- Familiarity with software licensing, maintenance, subscription, or support models.
- Experience coordinating physical product fulfillment with warehouse and logistics teams.
- Experience reviewing order backlogs, fulfillment reports, and invoicing reports.
Work Environment
This role operates in a collaborative, fast-paced environment and requires regular interaction with Sales, Finance, Logistics, Warehouse, Software Provisioning, and other internal teams.
The Senior Order Entry Specialist will manage multiple priorities and a high volume of detailed transactions while maintaining accuracy and meeting established processing and fulfillment timelines. The role requires regular use of CRM, ERP, Microsoft Office, and other business systems.
