Office & Operations Manager (f/m/d)

Summary

We're looking for an experienced Office Manager with a background in administration, operations or finance who enjoys taking ownership, improving processes and supporting a growing business. Experience in logistics or commercial administration will be highly valued.

This is a varied role combining office management, commercial administration, order management and logistics coordination. You'll work closely with the local leadership team while supporting colleagues across multiple business functions, ensuring smooth day-to-day operations and delivering an excellent experience for both employees and customers.

Job Responsibilities

  • Manage the day-to-day operations of the Budapest office and ensure a professional, efficient working environment.
  • Coordinate office supplies, facilities, equipment and marketing materials.
  • Support commercial operations, including order management for machines and accessories.
  • Coordinate domestic and international shipments, transport arrangements and delivery schedules.
  • Work with logistics providers and assist with customs documentation when required.
  • Process purchase orders, invoices and other finance-related administrative activities.
  • Maintain accurate information in CRM and ERP systems.
  • Support inventory activities, shipment forecasting and operational reporting.
  • Identify opportunities to improve administrative and commercial processes.
  • Provide operational and administrative support to the local leadership team and collaborate with colleagues across different departments.

Qualifications

  • Previous experience in Office Management, Administration, Operations, Logistics or a similar role.
  • Experience coordinating orders, shipments or logistics in an international environment.
  • Finance or commercial administration background, including experience with invoices, purchase orders, payments or financial administration.
  • Familiarity with customs procedures or import/export documentation is an advantage.
  • Experience working with ERP and CRM systems.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • A proactive, hands-on and solution-oriented mindset with the confidence to work independently.
  • Excellent communication and stakeholder management skills.
  • Advanced Microsoft Office skills, particularly Excel.
  • Fluent Hungarian and English.
